Event & Holiday Gifts: Large Quantities, a Date That Cannot Move

For gifts in quantity ahead of an event date that cannot be moved — year end, Ramadan, a conference. This page sets out the seasonal calendar and how to count the deadline backwards.

  • 8 weeks before the event, every option is still open
  • 4 kinds of event
  • 2 peak seasons of demand

An event gift has one enemy that no other gift has: a date that cannot be moved. Every other decision — material, marking, packaging — adjusts to that day, and not the other way round.

Seasonal calendar

The seasonal demand calendar, and why December fills up

In the run-up to year end and to Ramadan, leather workshops right across Indonesia are working on gift orders at the same time. What becomes scarce is not labour but leather in particular colours — and no amount of extra payment makes that arrive any faster.

The demand seasons, and the pressure each puts on a schedule
PeriodDemand pressure
Fourth quarter (October–December)Highest — year-end sets from many companies at once, all competing for the same leather colours
The run-up to Ramadan and Eid al-FitrSecond highest; it falls in a different month each year, so its distance from December is never the same
Conferences and seminarsSpread through the year; lead times tend to be shorter, because the recipients are not personalised by name
Company anniversariesSpread out, and set by the company itself — the most flexible period to plan ahead in

The top two seasons sometimes sit close together and sometimes far apart, depending on where the Hijri calendar falls that year — and when they are close, the pressure stacks. A company anniversary is the only category whose date the company sets itself, so it can be scheduled deliberately outside those two busy seasons.

Per-unit prices and the volume discount structure are on the Bulk & White Label page. This page stops at the calendar and the deadlines, not at the figures.

Schedule

Counting backwards from the event date

How far the order sits from the event date is what decides which options are still open — it is not only the price that changes, but the materials and the kinds of marking that can be chosen.

Lead time, and what is still open
Before the eventWhat can still be chosen
More than 8 weeksEvery material, every kind of marking, personalisation by name
4–8 weeksMaterials in stock, logo marking, a choice of packaging
2–4 weeksCatalogue models, simple marking
Less than 2 weeksSubject to stock; personalisation almost always falls away

Personalisation by name is the first thing to fall away as the time narrows, because it is per-unit finishing work rather than production work that can be spread across more hands. It is also the part a recipient remembers most, so its loss is the one that is felt. Eight weeks before the handover date is the point at which every option above is still open; after that what narrows is the material, not the capacity to do the work.

Four kinds of event

Four kinds of event, four different needs

A leather journal with a wax seal stamp on its tie closure.
Year-end sets. The recipient is known, and compares the gift against what other companies sent. What decides it: the marking and the packaging.
A wax-sealed envelope resting on a leather journal.
Holiday hampers. Opened with the family. What decides it: packaging that holds up when it is opened in front of other people.
Several leather journals with brass tags hanging from them.
Delegate souvenirs. Large quantities, recipients unknown, carried home in a bag. What decides it: light, and resistant to scuffing.
Leather journals with brass tags, made for a provincial government order.
Year markers. Marking one particular year. What decides it: the figures that get stamped, and spelling that cannot be corrected afterwards.

When a single event uses several kinds of item at once — common wherever there are several tiers of guest — how to put that together is set out on mixed bundles.

What event professionals choose

The choice of event professionals

“For our annual conference we moved to Hibrkraft. The notebooks they made were not just a souvenir but part of the experience. The delegates were very impressed. Highly recommended for any event organiser.”

Evidence of the work

The season decides the options, not only the price

Frequently asked

The questions we are asked most

When should a year-end order be placed?

Eight weeks before the handover date is the point at which every option is still open. After that what narrows is the material, not the capacity to do the work — and December is the busiest month across the whole leather industry, not only in our workshop.

Can you take a last-minute order with a tight deadline?

We always recommend planning early, but we understand that a sudden need can arise. A rush production option is available for an additional fee; whether it can be offered depends on the production queue at the time, particularly during the two peak seasons above.

Can a single event use several kinds of item at once?

It can, and it is common wherever there are several tiers of guest. How to put that together is set out on mixed bundles.

Can the packaging follow the theme of the event?

It can. The styles and finishes available are on packaging customisation.

What if the number of attendees changes close to the day?

For items carrying a logo, additional units can be made from the existing die as long as the material is still available. For items carrying a name, every addition is fresh work — see client appreciation for what that means in practice.

Is there a discount for large quantities?

The pricing structure and the volume discounts are on Bulk & White Label — this page stops at the calendar and the deadlines.
